01

Identify the accountable supplier

Confirm the legal entity, offered grade and role as manufacturer, exporter or distributor. Ask who controls formulation, releases lots and investigates a nonconformance. A large product catalogue does not verify capability for the proposed water-treatment polymer.

The supplier RFQ guide should request evidence for the actual application. Do not infer capacity, product certification or an independent laboratory from a logo or promotional photograph.

02

Connect sample codes to routine supply

Request coded material with grade, form, lot or sampling identity and applicable preparation guidance. Clarify whether it represents routine production, development work or a specially prepared candidate.

Retain appropriate reference material and sample history. An attractive laboratory result has limited purchasing value if the supplier cannot connect the tested identity to the material offered in repeat shipments.

03

Examine specification methods

Review active basis, relevant ionic or molecular information and quality measurements with their methods and units. A viscosity figure without water, concentration and instrument conditions is a weak comparison.

Distinguish lot release values from typical properties and marketing descriptions. Ask how formulation, active definition or supplied-form changes are disclosed and what evidence supports proposed equivalence.

04

Review application evidence critically

Useful test data identifies water, preparation, dose, coagulant sequence, mixing, separator and outcome. A removal percentage with none of those controls cannot qualify a supplier for the buyer's process.

Treat unrelated supplier data as screening background rather than the acceptance certificate. Reproduce decisive results under the agreed method, including the incumbent and credible difficult-water conditions.

05

Check document and use requirements

Request current COA, SDS, storage and preparation guidance, plus product-specific eligibility evidence where the duty requires it. A general management-system certificate does not establish every product-use claim.

For potable service, use the grade-approval review separately from ordinary treatment screening. Missing evidence should remain a qualification condition, not be replaced by reassurance.

06

Use trial supply to test consistency

Examine sample labelling, technical response, quotation identity, pack suitability and document timing. A limited trial order can reveal whether the received material and records match the accepted candidate.

Define receiving, quarantine and investigation responsibilities before larger releases. Keep evidence for important questionnaire answers rather than treat a checked box as proof of repeat-supply capability.

07

Maintain a reviewable approval

Record supplier, grade, duty, tested water envelope, completed evidence and open conditions with a responsible reviewer. Define requalification triggers for material, relevant source, process or product-use changes.

Send the water and supply requirements through the manufacturer qualification enquiry. Qualification should support a reproducible supply decision, not become a permanent approval of every polymer sold under the same company name.

08

Require evidence behind critical answers

Use a qualification table linking each important capability statement to a document, coded sample result, current identity check or observed trial-supply event. A completed questionnaire can organize the review but should not be treated as proof of its own answers.

Assign an owner and due date to unresolved method, traceability or application-qualification items. Keep conditional status visible until the evidence is reviewed. A commercial deadline should not turn an unanswered question into a verified manufacturing claim or permanent approval of unrelated grades carrying the same supplier name.
